Job Description

Tbe Salem County Historical Society in Salem, NJ seeks an Administrative Assistant for Part-Time work; Tuesday-Saturday 11 am – 4 pm (additional hours on occasion required for events/programs).

Job Responsibilities

Responsibilities:

  • Works with the public in various capacities:
  • Answers and directs incoming phone calls, responds to telephone/written/email inquiries, responds to front door (deliveries, mail, and inquiries)
  • Provides personal tours of the Society’s museums for scheduled groups and drop-in visitors
  • Assists in the library – helps librarian and researchers. Provides copies, microfilm help and printouts, scanning
  • Records and tracks museum visitation
  • Performs office administrative duties:
  • Works directly with Administrator/Curator on various tasks as assigned
  • Assists in the creation and maintenance of Society calendar/schedules
  • Arrange and coordinate event details
  • Coordinate event volunteers (track volunteer hours in Past Perfect)
  • Maintains the Society’s website and voicemail, retrieves messages from general email account and forwards to appropriate staff
  • Inventories and orders office and cleaning supplies as needed.
  • Mailings
  • Maintain office equipment (service, troubleshooting)
  •  Back up computers
  • Provide Administrator/Curator with monthly membership and visitation reports
  • Performs Membership Support Duties:
  • Creates and regularly updates template letters for membership and fundraising correspondence including acknowledgements, solicitations, monthly renewal notices
  • Maintains and manages membership database
  • Monthly mailings of member renewal letters
  • Performs Marketing/PR Duties:
  • Works with Administrator/Curator to create and send out press releases, newspaper stories
  • Responsible for submitting events to County Calendar
  • Responsible for updating Society’s online event calendar, updating the website, and face book page.
  • Photography at events
  • Responsible for coordinating, assembling and mailing the Quarterly Newsletter
  • Responsible for monthly e-newsletter

Perform all other tasks as required/requested.

Qualifications

  • Strong communication and writing skills
  • Ability to multitask successfully in a busy office setting
  • Strong computer skills required
  • Proficient in Microsoft Office Suite, Microsoft Publisher, Past Perfect Museum Software
  • Familiarity with QuickBooks a plus
  • Detail oriented
  • Enthusiastic
  • Willingness and ability to learn new software, inventory procedures
  • Personable, enjoys interacting with the public on a daily basis
  • Familiarity/experience with museum/library collections management or working with historic collections
  • Interest in history, historical societies, education, interpretation
  • Experience working in small non-profit organizations
